A parent's guide to your child's data
Plain English, no legal wording. Last updated 25 October 2026.
The short version
Your club already holds this information about your child — normally on a paper form in a bag. EveryDojo puts it somewhere organised instead. Your club can see it. You can see it and correct it. Nobody else can. It is never sold. When your child leaves, the club's record is deleted after a while; only a short training record stays in your own account, for you alone, until you delete it.
What we hold about your child
Their name, date of birth, address, and who to contact in an emergency. Their martial arts licence number and grade history. A health declaration — things like asthma, epilepsy or a heart condition — because an instructor genuinely needs to know before letting a child train. A photo, if you choose to add one.
We do not ask for anything we do not need. There is no tracking, no advertising, and nothing about your child is used to build a profile.
Who can see it
Your club. The instructor running your child's club sees their record. If the club has helpers, it can give them narrower access — someone taking the register sees names and attendance only, not health details.
You. You see your own children and nobody else's.
Not other parents. Not other clubs. Not the public. Your child's name never appears on the public part of the site.
EveryDojo itself. The person who builds and runs EveryDojo can technically reach the database, because faults have to be fixable. We say so plainly rather than pretending otherwise, and explain it properly on the security page.
Why we ask about health
Because a child having a seizure, an asthma attack or a bleeding disorder during training is a real risk an instructor has to plan for. Health information is treated as more sensitive than everything else in law, and we treat it that way too: it is only collected with your explicit permission, only shown to people who need it, and every time someone opens a full health record it is recorded.
Photographs
Adding a photo is your choice, and permission for it to be used is asked separately from everything else. You can say no and your child's membership is entirely unaffected. You can change your mind later.
If you pay your club by card
Your card details never reach us. They go from your browser straight to Stripe, who process the payment on your club's own Stripe account. We hold only the amount, how often it is due, and whether it worked, so your club can see who has paid.
You are paying your club, not EveryDojo. Your club appears on your bank statement, your club sets the fee, and we take no part of it. Stripe processes your data under its own privacy policy.
How long it is kept
While your child trains with the club. When they leave, the club archives the record with a retention period, and after that an automatic job permanently deletes it. It is not kept forever just in case. A short training record (each club, the dates, the grades and how many classes) stays in your own account, so it follows your child to their next club. Only you can see it, and you can delete it at any time from the record itself.
What you can do
Look at everything held about your child, correct anything wrong, withdraw a consent you gave, or ask for the record to be deleted. Most of it you can do yourself once logged in. For anything else, email hello@everydojo.com.
If you are not happy with how your data has been handled, you can complain to the Information Commissioner's Office, the UK's data protection regulator, at ico.org.uk.
One thing worth knowing
EveryDojo's database is hosted in the United States. That means your child's information is stored outside the UK. It is a normal arrangement for software of this kind, but it is your child's data and you should be told rather than have to find out.
